How can I use the CSV import tool to bulk add or remove users from an institutional account?
When and how to use the Mote CSV import tool
If you are the Mote admin for a school or district, and you are looking to add or remove more than a handful of users from your account, you'll want to consider using our CSV import tool to speed up the job and make the process of maintaining your user base even easier.
You can use the Mote CSV import tool for
- Initial setup
- To bulk add additional users
- To bulk remove users (e.g. inactive users)
INITIAL SETUP: Start here
1. Click 'Bulk manage users' from your 'Manage Users' page - https://www.mote.com/my-school/manage-users/
If you can't access the 'Manage Users' page once you are logged in, that probably means you're not an Account Owner or Administrator. Speak with whoever set up your institution's Mote account to proceed.
2. You will need a copy of our template to upload your user list - select either 'Open in Sheets' or 'Download CSV' to proceed.

Choose Sheets if you prefer to work with the user data in your Google Drive, however please note that you will need to export the finished user list to a CSV file in order to upload it to Mote.
Bulk adding additional users
You can use the CSV import tool to bulk add additional users to a currently active Mote account. To do this, the steps are similar to initial setup, however you will need to start with your current user list.
You can download your current user list as a CSV file by clicking the 'Bulk manage users' button as above, and then the 'Get my users' button on the dialog.
Follow the instructions and upload your augmented user list,
Bulk removing mote users
Bulk removing users from your mote account is also straight forward. Start with your current user list, downloaded as a CSV by following the instructions as shown above in 'Bulk adding additional users'.
Please bear in mind the following:
- Anyone that you remove from your account will continue to have a Mote account, however they will no longer have access to an Unlimited license. We auto-delete Free accounts after a period of inactivity - see this article for more details
- Anyone that remains on your list will continue to have a Mote account, and they will not receive any notification of change.
- Any educator user that you add to your account will receive a notification email. If they are already a Mote user their existing account will be automatically upgraded. If they are not yet a Mote user, they will be encouraged to sign-up and will be upgraded automatically when they first login.
- Any student user that you add to your account will NOT receive a notification, but will have an Unlimited account status.
Edit your data in the CSV file, and then upload the updated file. Resolve any errors in order to complete the import.
In order to successfully complete your upload, you'll need to carefully follow the instructions as laid out in the example template.
If your upload fails, you will see specific error messages that can help you resolve any data issues - please read these carefully and adjust your upload.
